Business and Project Coordinator

The Business & Project Coordinator will provide project coordination, operational support and business administration across Oxford Sigma's portfolio of projects and business activities.

Working closely with Project Managers, Technical Leads, Engineering and Operations, the role will maintain project and business information, reporting, resource plans, customer frameworks, procurement activities and business systems, ensuring effective coordination and support across the organisation.

The role will also support the development of dashboards, reporting tools and digital processes that improve visibility, efficiency and decision-making as Oxford
Sigma continues to grow.

Key Responsibilities:

Project Coordination

  • Maintain project plans, schedules, action logs, risk registers and project documentation.    
    Coordinate project reviews, reporting activities and governance processes.

  • Monitor project progress and highlight risks, dependencies and delivery issues to the appropriate stakeholders.

Resource, Portfolio and Commercial Support

  • Maintain project and portfolio dashboards, reporting and management information.

  • Support resource planning and coordination across projects and business functions.

  • Maintain records relating to customer contracts, framework agreements and commercial activities.

  • Coordinate bid reviews, lessons learned activities and continuous improvement initiatives.

  • Coordinate contractual governance between commercial and technical teams

Reporting and Systems

  • Produce and maintain project dashboards, reports and delivery metrics.

  • Develop and improve project reporting tools, workflows and business systems.

  • Support the digitalisation of project management, reporting and business processes.

Operations, Procurement and Logistics

  • Coordinate procurement, supplier, shipment, export and logistics activities in support of project delivery.

  • Support purchase order administration, supplier liaison, delivery tracking and procurement record management.

  • Assist with the coordination of subcontractors, suppliers and external delivery partners.

  • Provide operational and administrative support to project teams and business functions.

Ideally, you will have some of these skills and experience:

  • Project coordination, operations or administration experience.

  • Strong organisational and communication skills.

  • Experience managing multiple priorities and deadlines.

  • Good Microsoft Office skills, particularly Excel.

  • A proactive and collaborative approach.

and possibly some of these:

  • Experience within engineering, technology, consultancy or R&D environments.

  • Familiarity with project reporting, resource planning or procurement activities.

  • Knowledge of SharePoint, Power Automate or other business systems.

  • Experience improving processes, reporting or operational workflows.
